THE CHALLENGE

Paper-based clinical records in healthcare facilities result in extended patient waiting times (sometimes between 60 and 80 minutes); reduced clinical care due to files being lost in overcrowded filing rooms; and increased litigation costs. In addition, clinicians are often skeptical about using new systems which could save time.

OUR APPROACH

Redesigned end-to-end process to ensure value of technology reaches patients

Created innovative solutions using low cost tech to solve pain points of staff

  • Barcoding and indexing system for easier retrieval of scanned patient records
  • Hybrid e-scripting which enables electronic data storage, without typing
  • Hybrid e-sketch pad for electronically accessible medical diagrams
  • Easy-to-use automated pharmacy labelling solution reduces dispensing time

Co-designed the software user interface and workflow together with clinicians to optimise content and navigation

Emphasised clinician on-boarding

  • Interactive Ipad app to simulate to allow clinician training on the go
  • Training of doctors by fellow doctors as well as dedicated support during go-live

Developed custom change management strategies to support rollout

  • Energising training programmes and quick reference materials to ensure that processes were changed and tools were being effectively used
  • Elected process point and hospital champions to take ownership of the process and encourage sustainability
